Job Summary:

The Office Associate role provides administrative support to the congregation’s office and manages written communications for the community, including the weekly e-bulletin, order of service, website content, and annual reports. This important role supports the ministers, the Office Manager, and the congregation in keeping the church running smoothly; is the first person of contact. This role reports directly to the Office Manager.

Position Responsibilities:

Office support

  • Provide administrative and clerical support for the ministers
  • Greet visitors and answer general inquiries (email, in person, phone)
  • Maintain the building calendar for the booking of space, including managing space requests and resolving conflicts, using calendar software (
  • Order office, building, and church supplies, as needed and in collaboration with the Office Manager
  • Scan checks to be sent to the bookkeeper

Communications management

  • Support staff, lay leaders and volunteers in their production of print and electronic communications
  • Edit and print weekly order of service and other church service documents
  • Maintain and update website content and social media accounts
  • Create web forms for staff and lay leaders to collect information
  • Edit and distribute weekly announcements email
  • Manage the process of assembling, reviewing, and sharing annual reports and documents
  • Create and send out physical mailings, as needed
  • Edit video recording from Zoom when worship is online and post to YouTube and the website
  • Edit audio recording of worship for Podcast and post using Libsyn
Hours, location:

This is part time, 20 hours per week, reduced hours in the summer
Office hours 10 am – 2 pm preferably but might be flexible
Works at First Parish Unitarian Universalist in Arlington, MA, on bus lines and accessible via public transportation
Reports to the Office Manager

Position Knowledge, Skills, and Abilities:
  • Strong communication and interpersonal skills
  • Exceptional written communication skills
  • Ability to be organized and accountable to deadlines and priorities
  • Ability to maintain confidentiality and protect personal information
  • Strong customer service skills
  • Skilled in Microsoft office suite as well as Google Workspace
  • Familiar with database management
  • Familiar with audio editing and video editing software (Audacity, Adobe Premier)
Position Qualifications:

2+ years of office experience
Prior faith-based experience preferred
Communications experience a plus

Compensation & Rationale:

Per UUA Fair Compensation guidelines, “Office Administrator” according to experience and qualifications. Matches other UU congregations with similar positions.
This is a salaried position that may be eligible for health benefits, paid time off, and retirement plan.
Annual salary $21,840
